Executive Assistant


Lakeside is seeking a highly organized and detail-oriented Executive Assistant to support the daily operations of our growing firm. This role will work closely with the Managing Partner on executive support, calendar coordination, and event planning, and with the COO on office management, vendor coordination, and administrative operations. The ideal candidate is proactive, professional, and thrives in a fast-paced, team-oriented setting.

Key Responsibilities

Executive Support (Managing Partner):

  • Manage complex scheduling, travel coordination, and meeting logistics

  • Assist with planning and executing small events such as dinners, networking functions, and investor meetings

  • Handle confidential communications and materials with discretion and professionalism

  • Track follow-ups and manage communications across internal and external stakeholders

Office & Administrative Support (COO):

  • Maintain a welcoming and efficient office environment, including ordering snacks and supplies

  • Coordinate with IT vendors and service providers for tech setup and troubleshooting

  • Support company culture by planning internal social events, offsites, and team-building activities

  • Process accounts payable, employee reimbursements, and track expenses

  • Assist with onboarding new employees, benefits administration, and other light HR functions

  • Maintain organized records of vendor contracts, subscriptions, and corporate documents

Qualifications

  • 3+ years of experience in office administration, executive support, or similar roles

  • Impeccable organizational skills and attention to detail

  • Strong verbal and written communication skills

  • Proven ability to handle confidential information with discretion

  • Tech-savvy, with proficiency in Google Workspace (Docs, Sheets, Calendar) and/or Microsoft Office

  • Some familiarity with bookkeeping or billing processes preferred (or a willingness to learn)

  • Positive, professional attitude and a team-first mindset

Details

  • Location: Based in Oakland, CA, with properties primarily within walking distance.

  • Work Environment: Full-time in-office

  • Full-time, exempt position (Monday–Friday); must be available outside of working hours for emergency response if needed.
